How much to spend per employee on corporate gifts in India

A practical way to set a per-person gifting budget for onboarding, festive and reward programs — and how to defend that number to finance.

Start from the occasion, not the object

Most gifting budgets go wrong because they start with a product someone liked. Start with the occasion instead: what the gift has to achieve, who receives it, and how often it repeats. A welcome kit that lands on day one carries far more weight per rupee than a festive hamper, because it is the first physical thing a new joiner touches from your company.

Once the occasion is fixed, the budget follows from frequency. A programme that repeats monthly needs a lower per-person figure and tighter logistics; an annual festive push can absorb a higher figure because it happens once.

  • Events and conferences: the lowest per-unit band, with volume doing the work — useful, small, and light to ship.

Costs teams forget to budget for

  • Branding setup — engraving, embroidery or foil each carry a one-time setup on top of the unit price.
  • Packaging — a plain poly bag undoes a good gift; box, insert and filler belong in the budget.
  • Shipping to home addresses — individual dispatch across cities costs more per unit than one pallet to one office.
  • Buffer stock — order 3–5% over headcount for damages, re-sends and late joiners.
  • GST — quote and approve on inclusive figures so nobody re-approves later.

Make the number enforceable

A budget that lives in a spreadsheet gets breached quietly. Set per-employee and per-team caps in the platform so requests outside the band cannot be placed, and route anything above the cap to an owner for approval. Finance then reviews one consolidated invoice against caps it already agreed to, instead of reconciling fourteen vendor bills after the fact.
