The employee onboarding kit checklist we use for remote teams

What goes into a welcome kit that a new joiner actually keeps, and the dispatch process that gets it to their door before day one.

Build the kit around day one, not the storeroom

A welcome kit has one job: make someone feel expected. That means it has to arrive before or on their first day, and it has to contain things they will use in the first week — not a random assortment of leftovers from last year's event.

We keep kits to four or five items. Beyond that, unit cost rises, the box gets awkward to ship, and the impact drops.

The checklist

  • One everyday-carry object — an insulated bottle or a ceramic mug. This is the item that stays on their desk for years.
  • One desk object — a notebook, pen or desk mat that gets used in the first week of meetings.
  • One wearable — a tee, polo or hoodie in real sizes, collected during pre-boarding, not guessed.
  • One tech item where the budget allows — a charging pad or compact speaker.
  • A printed welcome note with the joiner's name, their manager's name, and where to ask for help.
  • Packaging that opens well: rigid box, paper filler, no plastic.

The process that makes it land on time

  • Hold stock in a hub rather than ordering per joiner — production lead times cannot keep up with hiring.
  • Collect address and apparel size in the offer-acceptance form, not on day one.
  • Trigger dispatch on acceptance, not on joining date, so courier variance is absorbed.
  • Track every kit individually and tell the hiring manager when it is delivered.
  • Re-order stock automatically at a threshold so a hiring spike never empties the shelf.

Common failure points

The two failures we see most are sizing and addresses. Apparel guessed centrally produces a box of unwearable mediums, and office addresses collected for remote joiners send kits to buildings nobody visits. Both are fixed with one form field, added early.
